Insurance or Custom Requirements
When setting up TIDY, you can specify your compliance requirements for vendors. TIDY will make sure all your vendors meet your compliance requirements. We can track both your compliance requirements, and your pro's compliance with these requirements. These can typically involve things like:
- Background checks requirements.
- Identification requirements.
- Insurance requirements
- Independent contractor checks
- Right to work checks
- Tax requirements
- This can include W9 or similar requirements.
- Training requirements
- Licensing requirements
- Agreement requirements (for example NDAs)
- Matching user requirements:
- Face ID to confirm the account holder's face likely matches the account holder, and not that of other parties.
- Location verification to confirm the account holder's location matches their known locations, and not that of other parties.
- As we help you find new vendors, we will ensure they meet your compliance requirements.
It is important to note that adding compliance requirements typically adds costs to your jobs AND reduces the pool of available pros.
- For example, if you require $1M in insurance from all vendors, many will not meet this requirement. As an alternative, in some cases, you may wish to insure yourself against risks from pros/vendors.
Every account is different, so make sure you set things up the way you think is best tradeoff of safety, cost, availability, and quality.
Background checks requirements come in 2 high level types.
- Specific kinds of background checks - This can be good if you have specific requirements (e.g. county searches). Note, depending on the type of search additional fees can apply. For the US, the main things you can select from are:
- Federal checks
- Country checks
- SSN verification
- Any kind of check - This is good if you just want to use an existing background check if available, such as one for another client. This can often be free and instant.
Running a specific type of check can take some time, so you should ensure to leave at least a few days to get it done in most cases. County checks often take the longest.
Note background checks are not always a predictor of risks, for example if they have never been charged or convicted of anything. Background checks also may not work if a pro runs the check on a borrowed person's identity (with or without their consent). Background checks in conjunction with other checks can mitigate issues further.
Identification requirements are trying to confirm the person is a specific person, not their background
- SSN verification
- ID verification
- Photo on account
- Location of home GPS verification
Insurance Tracking is typically done via a COI (certificate of insurance). When a customer sets a requirement, such as $1M general liability insurance, we typically ask for an example of what they are looking for.
Then, we proceed to work with existing pros added, to ensure they have that met. If we see any issues, we will notify you.
As you add or request pros, we will make it a requirement that they have a valid COI submitted prior to going to the job.
If they are unable to satisfy the requirements, we will ensure they cancel.
You can waive requirements anytime, if you like.
Typically, pros paying for insurance policies will have higher rates, so be aware of the impact on suggested pricing.
- On your behalf, we reach out to the vendors on a regular basis to ensure their compliance. For example, in the case of insurance, we would request a COI from them. As we track these items, we will add it to their profile on your account, so you can ensure that people meet these requirements.
In some jurisdictions, you might want additional assurance that the pro is indeed a bona fide independent contractor. We can help facilitate that. Steps include:
- Ensuring the pro is marketing their business generally
- Collecting representations and warranties from the pro
- And other possible options
If you want to check if someone is legally able to complete the work, we can check:
- Immigration documents
- SSN
And other documentation.
These requirements can be important for tax reporting purposes. Most of the time, in the US they consist of a W9.
If you have training requirements, then we can help ensure these are completed. As these are custom per account, the exact steps need to be reviewed with an account manager.
If you require proof of a license to do work, let us know the kind of license you need and we can collect it. If you do not know the type of licensing required, speak with us. We can also require pros to represent and warrant that they have the required licensing, even if you don't collect it.
If you require an agreement of some kind signed before working, we can facilitate the signing. This can include:
- Service agreements
- NDAs
If you want to ensure that the current person using a pro's account (on their computer or phone) is likely to be the person on the account, we have a few options:
- Face ID to confirm the account holder's face likely matches the account holder, and not that of other parties. Here is how it works:
- Prior to going to a job of yours (and within a few hours of the job), users take a photo of their face.
- This photo is checked against their past photos and other known pro photos in the system to estimate the probability the person taking the photo is a match.
- If the probability is high, the pro is allowed to proceed.
- If the probability is not high, the pro sees a failure message and the account is typically flagged for review.
- Location verification to confirm the account holder's location matches their known locations, and not that of other parties. Here is how it works:
- Before getting information for jobs, pros must "check in" by tapping a button and providing their location.
- These GPS coordinates are compared against a database of all other pro users of the system, to see if it matches another account in some way, that would flag the account. For example, it matches another pro who has been flagged in some way.
